Division: Medical Association Management (MAM)
Medical Association Management is a division of the Illinois State Medical Society (ISMS) that manages medical specialty associations.
The Account Manager will be responsible for administrative, project and account management in a department that provides comprehensive association services. We are looking for an experienced administrative professional seeking the next step in their association career. The candidate must be a self-starter and possess confidence.
The Account Manager will be the lead point of contact for any and all matters specific to existing client relationships. The goal of this position is to build and maintain strong, long-lasting client relationships.
Administrative duties include staffing committee and board/council meetings along with preparing and distributing materials for the meetings. Develop a reporting system to ensure all client follow-up activities are completed timely and to the clients satisfaction. Maintain an understanding of the issues affecting each client.
Governance duties include monitoring and ensuring that clients are compliant with organizational bylaws and other state and federal laws/requirements. Assist in the development and implementation of clients strategic plan and/or mission.
Legislative duties include working with the Senior Directors of the department and serving as the staff liaison for legislative and regulatory issues. Serve as the liaison with legislative consultants (internal & external) and ensure continuous communication of all legislative activity. Coordinate grassroots advocacy activities for clients. Attend Legislative Conferences in Washington, DC for clients. Organize Lobby Day for clients.
Membership duties include managing membership recruitment activities based on client needs and creating and implementing dues collection campaigns as directed by the client.
Communications duties include managing assigned clients publications and other communications and ensure they are completed in a timely fashion within the approved budget.
Maintain communication with vendors, exhibitors, sponsors and industry leaders to encourage continual support of affiliated organizations. Continually review clients website and posting of new events, projects and involvement opportunities. Provide oversight to all print, mail, faxed, electronic and web site communications.
Financial Services duties include preparing the annual operating for each client and financial forecasts for each clients operating budget. Review financial statements to ensure accuracy and make adjustments as necessary. Monitor investment accounts with investment manager of each assigned client on a regular basis. Ensure all tax filings are completed by an external accountant.
Comprehensive Meeting planning duties include selecting the meeting site, prepare and monitor budget for the meeting, speaker correspondence, prepare marketing materials, exhibits & sponsorship, accreditation, budgets, program development, and registration. Work with assigned committee to plan and implement meeting. Obtain CME if required.
Planning and Development duties include participating in long range planning for the department including marketing divisional services to obtain new clients. Encourage ISMS membership among members of the assigned clients and help ISMS develop recruitment strategies including providing ISMS with data on assigned clients. Assist in the motivation & development of the division’s administrative staff.
Desirable Qualifications and Experience:
- Bachelor’s degree (preferred).
- Minimum 3+yrs experience in non-profit organization management or related industry.
- PC experience with Windows operating system and a variety of software programs, including but not limited to WORD, PowerPoint and EXCEL.
- Database management experience, iMIS preferred.
- Excellent oral and written communications skills with a strong focus on customer service.
- Proficient in time management and organizational skills.
- Ability to work evenings and weekends as needed for meetings and conference calls with some overnight travel.
- Confident and self-starter.
