Registration & Housing Process – Coordinate and manage the Annual Meeting registration & housing process (pre-reg and onsite). Update registration fee calculator with actual attendance numbers from last year and suggest registration fee options for next year. Work with membership and registration vendor to update membership and online registration & housing forms. Test registration/housing process before going live. Download weekly registration/housing reports and analyze trends. Staff Schedules and Housing– Coordinate and manage the Annual Meeting staff work schedules which includes obtaining schedules from each staff and reviewing with Director of Conventions and Executive Director, assigning hotel rooms to staff (and vendors) based on available comp and staff rated rooms. Organize the Annual Meeting Staff Briefing. Function Sheets – Manage set-ups and logistics with all convention properties (convention center & hotels) and produce detailed functions sheets, distribute changes sheets as needed. Manage phone, electrical and internet requirements for all sessions, events and offices. Confex Meetings Module Management– Review slot assignment calculation each year. Clone meetings data base and adjust to reflect revised slot assignment. Ensure all session and event data is entered into Confex correctly and that Confex data matches the meeting room charts. Clean up Confex Meetings data as part of function sheet process. APHA Live Webstreaming Project Manager– Manage the new Virtual Conference. Work directly with webstreaming vendor (BlueSky) to create to update the portal. Coordinate with IT to set up registration site in iMIS. Work closely with Freeman AV, Dr. Benjamin and the content development team to ensure the content and the technology is all in place. Manage APHA Live budget. Work with Meetings and Marketing Coordinator to promote APHA Live. This position will supervise one staff person and interns. Other duties as assigned.
Bachelor’s degree required. Candidates must have 2-4 years of meeting or convention management experience and at least 1 year of supervisory experience. Team player must be comfortable with online database applications and proficient with Microsoft products (Excel, Word, Access). Experience with database management. Excellent organizational and customer service skills, as well as excellent communication skills are required.
Salary mid 50’s. Commensurate with experience.
Position is based in downtown DC near several metro stations.
Hours: 35 hours a week, full-time, Mon-Fri. (daytime). Number of openings: 1.
