The American Trucking Associations (ATA), the nation’s leading trade and lobby association representing the trucking industry, is actively seeking a Manager, Registration & Housing Services. This Position oversees the day to day operations of ATA registration services and housing for all ATA meetings and conferences. Provides registration processing support as needed and during times of high volume. This position has no budgetary responsibilities.
Manages day-to-day operations of ATA Registration Services, which is responsible for all ATA meetings and exhibit setups in Personify360, customer data maintenance, meeting attendee and exhibitor registration, onsite registration processing and meeting closeout.
Work closely with the VP and Director of Event Services in negotiation of hotel room blocks, concessions, and cut off dates. Work closely with MIS Department and Finance Department in setting up online registration including event landing pages for all meetings as well as working with hotels in setting up housing links.
Continually monitor online registration and Passkey housing links. Works to assess, maintain, and/or update the online registration process to facilitate an easy and intuitive online registration process for attendees. Ensure all data collected in the online registration process reflects the same data collected on housing/registration forms.
Compare rooming lists to registration list to ensure all individuals with housing accommodations have registered. Follow through on any discrepancies.
Assist attendees with issues in securing registration or hotel rooms. Make appropriate changes.
Responsible for closely monitoring housing blocks for all meetings with ATA event services manager and hotel contact. Manage suite sales for MCE
Responsible for finalizing VIP/Staff/Speaker requirements and amenities and submitting rooming list to hotels. Prepare the Advanced Registrant List for exhibits manager to send to exhibiting companies.
Assemble the registrant data for the Who’s Who of MCE.
Monitor and maintain correct inventory of all registration supplies. Pack proper registration supplies for each meeting. Confirm supply arrival at meeting venue prior to kit stuffing. Manage on-site registration process to include but not limited to managing temporary staff for kit stuffing, training temp staff for on-site registration process, setting up registration desk, setting up and managing badge on demand, processing on-site registrations, managing registration desk, monitoring spouse/guest registration, monitoring ticket sales (food functions).
Providing close-out reports on registration/housing. Maintain relationships with registration vendors such as Personify and Badge on Demand.
Ensure various meeting reports generate the correct data fields.
Work with event services manager and various ATA departments to create special event-specific reports.
Knowledge and Skills
BS/BA in Business Management, Information Management, or a related field plus 5 years’ experience in a membership-based association or data management position. Knowledge of Association Management Systems, membership database systems, or a complex relational database is required. General knowledge of trade associations or professional society preferred.
