| Executive Office Coordinator Full Time Position Chicago Executive Office Based The American Health Information Management Association (AHIMA) has an excellent opportunity for an Executive Office Coordinator. Position Purpose The purpose of this position is to coordinate the time, resources and priorities of the Board of Directors, set forth by the CEO and Executive Office and to follow through on the implementation of the priorities of the Board of Directors; to foster continuous improvement (for both the Executive Office and Board); for effectively communicating both internally and externally to fulfill the objectives of the Executive Office and Board; and to utilize process review and analysis to improve the performance of the Executive Office and Board of Directors. The position tracks completion of projects for the Board of Directors with the desired outcomes; it is representative of the Board in external and internal communications for the purpose of timely, accurate and coordinated responses; it handles extremely confidential information with absolute discretion; it assists in planning and monitoring the budgets of the Board of Directors. The Executive Office Coordinator is responsible for: - Beginning to end coordination of Board and Board committee meetings: scheduling, agenda creation, packet compilation, travel, catering, onsite logistics support, minute taking, proactive follow up to finalize action items, expense submission and finalization.
- Acting as the primary contact between Board Directors and staff, assisting with requests for information, registrations, expenses, communication, training, onboarding and offboarding etc.
- Responsible for assisting to create and adhering to the Board of Directors annual budget
- Proactive action and communication on upcoming deadlines and tasks to effectively manage Board Directors schedules and requests.
- Serve as the liaison to the Component State Associations (CSAs) to manage Board Director speaking schedule and coordination at annual meetings.
- Maintain board portal site including content management of materials.
- Scheduling and calendar management for the executive office.
- Travel to offsite board meetings up to 3 times per year.
- Back up to Manager, Executive Office
- Performs all other duties as requested.
Position Requirements - Bachelor’s degree or applicable experience
- 5 years related experience in roles within an Executive Office, preferably with a Board of Directors, preferably in an association environment
- Strong in developing trust and portraying the highest level of professionalism both externally and internally; exhibits and encourages respect and cooperation among constituencies
- Work as a self-starter and conceptual thinker, who can collaborate on creative solutions; an independent worker who is also able to contribute to team-efforts
- Make decisions keeping AHIMA processes in the fore, to promote organizational consistency
- Strong sense of discretion and confidentiality
- High-level working knowledge of Microsoft Office Suite, content management software, travel and expense (Concur preferred), web conferencing tools
- Deliver projects on task and on time
- Understanding of the scope of Board and CEO work from project level to strategy
- Ability to compose own documents, design forms, compile and interpret surveys
- Experience in taking meeting minute according to “Robert’s Rules” strongly preferred
- Excellent customer service skills
- Service-oriented attitude and the desire to work with/for multiple people with a variety of personality-types and various levels of need for support.
- Ability to identify alternative solutions to complex issues and to implement processes and procedures to complete initiatives
