We are looking for someone to join our team as a Member Relations Coordinator. The role of this position is to coordinate the membership functions and operations of the Member Relations Department, specifically member recruitment, retention and engagement efforts. This role has significant interaction with members, prospects and staff. Coordination of the following projects include: New and Renew Member Engagement, Membership Inquiries, Lapsed Members, Expired Members, and other various responsibilities that work to support the goals and objectives of this department.
Specific Responsibilities include:
Manages the prospective member process - identifies prospective members through industry and allied publications, sends membership information, coordinates follow up by staff and ensures prospect record is accurate in database.
Monitors and maintains inventories of membership materials. Arranges for reprinting of materials as needed.
Serves as liaison to staff for membership activities - responds to membership information requests and coordinates staff recruit-a-member campaign by monitoring and reporting staff recruiting results and awarding incentives.
Provides administrative support to member-get-a-member program - sends out sponsor letters and fulfills recruit-a-member requests from members.
Initiates and carries out specific conference/education program activities, including preparing and mailing pre- and post-conference nonmember solicitations, and coordinates the distribution of membership materials for on-site and off-site programs.
Handles administrative functions of the renewal process
Coordinates ASAE’s Life membership program by identifying eligible retired members, promoting membership, and providing rosters of candidates for approval by ASAE’s Board of Directors.
Responds to telephone and online inquiries concerning ASAE membership and services.
Assists the Manager of Member Relations with all New Member Orientations.
Manages the new member engagement campaign: Sends E-postcard, new member kit, and membership id card.
Manages ASAE membership card program, which includes interacting with vendor that produces cards, etc.
First point of contact for members, prospects and staff.
Works closely with the data entry/integrity staff to ensure updating of records as well as screening and adding new prospects to database.
Collects membership materials from other associations for comparative analysis with ASAE materials.
Makes decisions on basic projects. Recommends policies/solutions to Director concerning various projects.
Stay apprised of association activities, policies, and services to respond to inquiries.
Assists with coordinating activities associated with the membership council, section and committee volunteers.Performs additional duties as required.
College degree preferred (High School minimum requirement)
Strong verbal and written communication skills.
Excellent, articulate, personable and diplomatic customer service skills.
Ability to multitask, work independently and work efficiently under deadline.
Possess a positive team-player attitude.
Proficient in MS Office (Word, Excel, PowerPoint). Knowledge of membership database programs a plus.
Proven project management skills.
