Primary Goal: To plan, implement, manage and evaluate all aspects of up to 7 regional meetings annually and support the operational execution of the annual national meeting for a society of academic general internists dedicated to advancing a just system of care in which all people can achieve optimal health.
Region Relations and Committee Management
Build and maintain relationships with members, vendors, suppliers, and exhibitors
Collaborate with volunteer committees to facilitate programs on regional level
Participate in special assignments or on task forces dealing with regional issues, as needed
Regional Meeting Activities/Logistics
Develop, monitor, and track timeline, budgets, registration, and housing for regional meetings
Communicate with hotels/convention centers regarding the specific details of the onsite meeting including banquet event orders, special event needs and vendor set-up
Negotiate contracts and research site location process for regional meetings
Travel to and implement onsite events including pre-meeting planning with hotel/business partners, registration, poster hall coordination and food and beverage guarantees
Manage abstract submission process for regional meetings including developing site (ScholarOne) details and updates
Set up meeting registration (MemberSuite)
Coordinate speaker communications and presentation logistics
Track and monitor expenses
Manage possible virtual or hybrid meeting components, if needed
Manage mobile application process and training of staff, attendees, and presenters, as needed
Manage application process and delivery of Continuing Medical Education credits (CME/MOC)
Coordinate shipping and purchase of materials needed for all meetings
Communication and Customer Service
Coordinate with Communications team to develop marketing plan for each meeting; and produce and send out clear, timely messages.
Maintain regions website; keep up to date
Serve on a rotating basis to answer organizational calls and inquiries
Work with Regions Team to design and implement meeting evaluation process for regional meetings
Evaluate regional meeting process and initiative best practices, as needed
Annual Meeting Support
Support Annual Meeting staff as needed
Collaborate with other staff and leadership
Bachelor’s degree required.
3 years of experience in events or chapter management in the association industry
Excellent written and verbal communication skills
Ability to interact with staff and membership with a high level of diplomacy and effectiveness
Strong attention to detail and organizational proficiency
Prioritize and juggle projects and tasks to meet deadlines
Ability to learn and adapt to new technology solutions
Must be able to function as part of a team
Strong knowledge of MS Office tools (Outlook, Excel, Teams)
Experience with MemberSuite, ScholarOne a plus
Travel to events for onsite meetings
Ability to work independently from remote location
