The Program Manager works with the Director of Professional Development (DPD) to ensure the execution of the professional development programming for the American Society for Cell Biology (ASCB). The Program Manager, assists, plans, initiates, and executes various projects ensuring that goals are met, projects are completed on time and within budget. This position provides management and support for multiple Society volunteer committees and reports to the DPD.
RESPONSIBILITIES
Committee Program Management
Monthly:
Coordinate and administer meetings, webinars, and various activities of the Minorities Affairs Committee (MAC), the Women in Cell Biology Committee (WICB), the Committee for Postdocs and Students (COMPASS), the LGBTQ+ committees, and other ad hoc committees or taskforces.
Ensure that committee-related web pages are kept current using WordPress.
Answer/post all committee correspondence via email, Slack, and ASCB Online Community.
Prepare minutes and correspondence for all meetings.
Update iMIS (database).
Annual Meeting:
Coordinate with committees to help organize meeting sessions, speaker logistics, traveling and lodging, and budgets.
Work with ASCB staff on digital management of contracts (finance), speaker bios, session descriptions, handouts, etc.
Compile award nomination packets in iMIS and distribute to the subcommittees, organize nomination calls, send notifications to nominators, winners, and non-winners; notify ASCB staff of awardees.
Process reimbursements for all committee session speakers; travel awardees, committee members, grant participants, etc.
Grant Management
Manage the application process for grant applications through ASCB portal; manage all correspondence with applicants to ensure compliance with ASCB and grant guidelines; send notification to winners, and non-winners (COMPASS Outreach/WICB Childcare/Travel awards).
Maintain an updated database of grant participants for each grant program; maintain updated grant reports and evaluation reports.
Research and secure event venues for offsite meetings for grant-related meetings; prepare BEOs, coordinate events services, food, travel, lodging for all participants, and ensure reimbursements.
Coordinate all meetings; prepare minutes and correspondence for all meetings.
Assist with marketing and grant reporting as needed.
Program Management
Plan, schedule, and track project deliverables by maintaining project timelines and manage a clear project schedule while addressing issues, and scope change.
Manage the set-up of the professional development webinar series and workshop; ensure webinars are properly posted in Zoom, posted on the website, and advertised with the communications team.
Coordinate with various committees, speakers, and other stakeholders on different workshops and meetings.

BACKGROUND
Bachelor’s degree required.
At least three years of demonstrated project administrative experience.

Demonstrates an interest in ASCB’s mission.
