Due to continued growth the American Academy of Periodontology (AAP) is seeking a multi-faceted individual to join the team as Coordinator in our Continuing Education Department.
The American Academy of Periodontology is a 7,500-member professional organization for periodontists, a dental specialty for the prevention, diagnosis and treatment of diseases affecting the gums, supporting structures of the teeth and placement of dental implants. In the Continuing Education area, the Coordinator is responsible for supporting the Continuing Education (CE) Department in all activities, particularly those related to the Annual Meeting and other AAP-sponsored and collaborative CE in-person and/or virtual events. The Coordinator reports to the CE Manager and supports the work of the Continuing Education Oversight Committee (CEOC) and related subcommittees, as appropriate.
Responsibilities:
Supports the work of the (CEOC), generating routine correspondence, assisting with production of agendas and related materials, and coordinating onsite logistics for annual committee meeting
Assists the CE department with Annual Meeting planning and project management, including database and software maintenance (i.e., Personify360), coordination of CE materials and speaker/moderator documents, maintaining supply inventory, packing, and shipping materials to meeting sites
Assists with the compilation of materials for in-person and virtual online CE programs such as preliminary and on-site programs, the mobile app, speaker/moderator content management, including editing and proofreading materials as directed
Attends in-person and virtual Annual Meetings, providing full-time operational support for CE sessions, speaker ready room, hands-on workshops, and other events as necessary
Updates and manages the online submission platform and trouble-shoots technical issues and problem entries; communicates with applicants as needed
Assists with planning and logistics for collaborative CE meetings with state/regional/global periodontal societies and other organizations and corporate entities
Performs tasks related to compliance with ADA Continuing Education Recognition Program (CERP) and the Dental Board of California
Helps coordinate virtual and in-office meetings (i.e., Insurance Workshops), including meeting materials, travel arrangements, conference room reservations, room setup/AV, meal functions, attendee communications and CE certificates
Compiles and distributes post-meeting surveys, tallies results, and prepares reports as directed
Assists with Board of Trustees reports as necessary
Provides administrative support to Associate Executive Director as well as prioritized support to the Director of Continuing Education and Manager of Continuing Education
Responds to member inquiries, provides customer/member support, directs members to other AAP resources, and enlists assistance from vendors and IT staff as necessary
Carries out other projects as assigned, to support the CE Department
Participates in team-based meetings via Zoom, Teams, and conference calls
Other related duties as assigned

Work Location: Currently remote with the hope of returning to the office, in some capacity, in 2021.
Requirements
Bachelor’s degree preferred or 1+ years’ experience in continuing education, meeting planning, association management, or related field
Ability to work early mornings, late evenings, and weekends periodically and travel at least once a year to support Annual Meeting operations
Excellent organizational, written, and oral communication skills
Proofreading proficiency
Customer service-minded and attentive to detail
Comfortable working under tight deadlines in a fast-paced, team environment
Positive attitude; strong interpersonal skills; ability to communicate with professionals at all levels
Tech-savvy professional with proficiency in Microsoft Office Suite, aptitude for web-based platforms (Zoom and MS Teams) and e-learning systems, experience with Personify360 a plus
Excellent project management skills: ability to prioritize, multi-task, and meet deadlines
Adaptable to multiple management styles
