The American Academy of Periodontology (AAP) is seeking a multifaceted individual to join the team in an entry-level capacity as a Publications Coordinator.
The American Academy of Periodontology is a 7,500-member professional organization for periodontists, dental specialists who treat gum disease and other oral health conditions and place dental implants. The Publications Coordinator provides primary support to editorial and advertising functions of the Academy’s two peer-reviewed scientific publications: the Journal of Periodontology (JOP) and Clinical Advances in Periodontics (CAP). This individual reports to the Managing Editor, Scientific Publications and helps support efforts to enhance the stature and scope of the AAP’s journals.
The Publications Coordinator is an integral member of the journals team, providing administrative and project support and ensuring that editorial and advertising functions run smoothly.
Responsibilities:
Editorial Support
Tracks Journal of Periodontology (JOP) and Clinical Advances in Periodontics (CAP) manuscript acceptances and assigns manuscripts to issues in online submission platform.
Compiles Table of Contents summaries for publication and edits for readability and adherence to style, in conjunction with Editors.
Proofreads Publisher’s monthly issue alerts.
Drafts content for AAP monthly e-newsletter and ensures journal information on AAP website is current.
Maintains and updates author guidelines for JOP and CAP, with Publisher.
Invites authors to record podcasts; edits podcasts using special software; sends podcasts to Publisher for posting online.
Copyedits Academy reports; submits via online submission platform; proofreads reports prior to publication in journal issue.
Assists Managing Editor with proofreading JOP and CAP issue proofs.
Coordinates annual journals workshop and editorial board meeting; prepares and tracks invitations and assists with meeting logistics.
Participates in regularly scheduled calls with Editors and Publisher.
Assists Editors and authors with online submission platform and general inquiries as needed.
Advertising Support
Screens advertisements for JOP and CAP, as well as other print and electronic member communications, with assistance from Managing Editor as necessary.
Reviews print and digital advertising materials prior to distribution to attendees at Annual Meeting.
Liaises with Advertising Advisory Workgroup and advertising sales representation firm.
Provides AAP sponsor list to Publisher for complimentary JOP and CAP print copies.
General Support
Assists Managing Editor and Associate Executive Director, Science and Clinical Affairs with budget development and research; enters and proofreads data in budget tracking software; prepares budget books.
Assists Associate Executive Director with travel arrangements, meeting registrations, expense reports; arranges conference calls; distributes agendas/minutes; assists with reports and presentations.
Maintains AAP library and onsite/offsite storage of JOP and CAP print issues and Periospectives magazine;coordinates binding of JOP, CAP, and Periospectives with outside vendor.
Provides onsite support at Annual Meeting as requested.
Processes outgoing mail, maintains files, orders supplies, and ships packages.
Provides regular backup for AAP receptionist.
Other related duties as assigned.
Interview: Will be conducted virtually.
Work Location: Currently remote with the hope of returning to the office, in some capacity, in 2021.
Requirements:
Bachelor’s degree from a four-year college or university, or 2 to 3 years of work experience providing administrative and project support.
Non-profit experience preferred.
Experience with or interest in scientific research or scholarly publishing a plus.
Excellent writing, proofreading, and communication skills.
Experience working with web-based programs, digital files, and other technological tools.
Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint, and familiarity with Adobe Acrobat.
Strong organizational skills, exceptional attention to detail, and ability to multitask and adhere to production deadlines in a fast-paced environment.
